At CryoFuture, we’re building something meaningful—and we need a sharp, highly organized Executive Assistant to help us move efficiently and effectively. This role will directly support a member of our C-Suite, ensuring operations run smoothly and priorities are executed with precision.

This is a full-time, in-office position based in Irvine, CA. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced environment. You’ll be an essential part of helping your executive stay focused, organized, and ahead of the curve.

• Be a trusted partner to a C-Suite executive, providing daily administrative and strategic support
• Act as a gatekeeper, managing the executive’s calendar, scheduling meetings, and prioritizing requests
• Regularly review meeting structures, time management, and operating practices—and propose improvements
• Plan and coordinate internal meetings, team events, and occasional offsite gatherings
• Coordinate travel logistics, including domestic/international flights, accommodations, and itineraries
• Draft emails, memos, and communication on behalf of the executive
• Provide inbox support and streamline day-to-day communication
• Prepare materials for meetings, public appearances, and PR engagements
• Attend key meetings, track action items, and ensure timely follow-through
• Manage expense tracking and reimbursement submissions
• Assist with occasional errands or off-site tasks—a reliable vehicle and valid driver’s license are required
• Support and drive special projects on behalf of the executive
  

• 3–5 years of experience as an Executive Assistant, ideally supporting senior leadership
• Strong proficiency in:
• Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
• Microsoft Office Suite, especially Excel
• Asana (or similar project management tools)
• Excellent organizational and time management skills with strong attention to detail
• Clear and professional written and verbal communication skills
• A proactive, adaptable, and resourceful mindset—you take initiative and stay two steps ahead
• The ability to handle confidential information with discretion and integrity
• A valid driver’s license and reliable vehicle
• Bonus: Experience in the healthcare or fertility industry
